What is this feature?
Equipment Actions let your team record structured, custom information every time a specific type of work is performed on a piece of equipment — directly from the mobile app while completing a job. Admins define what information to capture; technicians fill it in on-site.
How it works — the big picture
The feature has two sides:
Admin setup (web portal): You create Equipment Action Types that define what information needs to be recorded, then link each Action Type to the relevant Standard Job template.
Technician use (mobile app): When a technician selects that Standard Job on a job and picks the equipment, an action form automatically appears for them to fill in before saving the job.
Part 1 — Admin setup (web portal)
Step 1 — Create an Equipment Action Type
An Equipment Action Type is a template that defines what custom fields need to be recorded when a particular type of action is carried out on equipment.
In the admin portal, go to Equipment → Action Types.
Click Create new.
Give it a clear name (e.g. Annual Inspection, Delta Calibration).
Add the custom fields you want the technician to fill in (these come from your existing Equipment Custom Fields).
For each field, choose whether it is:
Required — the technician must fill it in before they can save the work entry.
Show — the technician will see and will be able to fill the field but it will not be mandatory.
Read-only — the value is pre-filled from the equipment record and cannot be edited by the technician (useful for reference data like serial numbers or last service dates).
Hidden — not visible to the app user.
6. Save the Action Type.
Tip — all fields read-only (or hidden): If every field on an Action Type is marked read-only, the technician does not need to do anything — the form is considered complete automatically and the work can be saved straight away.
Step 2 — Set the order of custom fields (optional)
If you want the fields to appear in a specific order on the mobile app, you can set this from the Equipment Custom Fields list.
Go to Equipment → Custom Fields.
Click Order for mobile app (this button appears when you have at least two fields that are active and visible in the app).
Drag the fields into the order you prefer, or use the up/down arrows.
4. Click Save.
Archived custom fields are not visible here. Also, have in mind that you can not archive a custom field if any of the equipment actions type is using it.
Step 3 — Link the Action Type to a Standard Job
This is the step that activates the feature for technicians. Once linked, every time that Standard Job is used, the action form will appear.
Go to Standard Jobs list and open the job you want to update.
In the Equipment Action Type field, select the Action Type you created above.
Save the Standard Job.
Note: The Equipment Actions field is only visible in Standard Job when the Custom Equipment Actions feature is enabled for your account. Contact your Frontu account manager if you do not see this option.
Part 2 — Technician use (mobile app)
Adding a job with an equipment action
When a technician adds a job, the action card appears automatically if the right conditions are met:
The selected Standard Job has an Action Type linked to it, and
A piece of equipment has been selected.
The card appears between the Equipment field and the Description field. Its colour tells you its status at a glance.
What you see | What it means |
⚠ Amber warning icon | The action has not been filled in yet. The work entry cannot be saved until it is completed. |
✓ Green check icon | The action has been filled in (or all fields are read-only). The work entry can be saved. |
Filling in the action form
Tap anywhere on the action card to open the form.
2. Fill in the required fields. Read-only fields are shown for reference but cannot be edited.
3. Tap Save on the form to return to the work entry. The card will update to show the green check icon and a summary of the values you entered.
4. If you want to change what you entered, tap the card again to re-open and edit the form.
5. Once all other required fields (description, duration, etc.) are filled in, tap Save on the work entry as usual.
If the action card is visible but you try to save without filling it in, you will see a message saying the action is required. Tap the card, fill in the form, and save again.
Editing an existing job
When you open a job that was already saved with a custom action:
The action card shows the green check icon with the values that were saved.
The Standard Job and Equipment fields are locked — they cannot be changed, because doing so would break the link to the saved action record.
You can still tap the action card to view or update the action values. If you change the values and save, the previous action is archived and a new one is created.
Deleting a job
If a work entry has a linked equipment action and you delete the job, the action record is automatically archived as well. Likewise, if the action is removed from the equipment history, the linked job is also archived.
Part 3 — Viewing equipment action history
Every equipment action recorded through a job is stored in the equipment's action history, giving you a full audit trail of what was done and when.
Open the equipment record.
Go to the "Show more".
The list shows all actions recorded for that equipment, including who performed them, when, and the values that were captured.
You can still archive the actions that are not yet synchronized with the administrator panel. You will see an arrow icon and if you click on it, you will be able to archive the action.
