Care planner mini app add-on

Plan recurring home care visits against contracted hours

The Care planner helps home care providers plan recurring visits for each client. It compares planned visits with the client's contracted hours and keeps Frontu work orders up to date automatically. A coordinator plans care visits for each client (who visits whom, on which day, at what time), and the tool checks the plan for problems and then turns the approved visits into normal Frontu tasks in employees' apps.

This add-on is turned off by default. To start using it, contact Frontu and we will turn it on for your account.

Before you start

The Care planner matches clients and employees by their System ID code. Make sure that:

  • every client you want to plan for has a System ID,

  • every employee who carries out visits has a System ID.

Where to find it

  1. Go to Admin > Apps.

  2. Open Care planner.

Apps is a new section for mini apps. The Care planner is the first one available there.

Hav in mind that at the moment, the screens are in Lithuanian only.

What it's for

  • Planning visits per client. Each client has a weekly number of contracted care hours, and the planner shows whether a week is under, over or on target.

  • Checking the plan. It flags:

    • Blocking problems (red), which stop the visit from being sent to Frontu: double-booked staff, too little travel time between clients (15 min by default), a staff member who isn't allowed to visit a particular client, a visit outside the client's fixed time window, or missing or unknown data.

    • Warnings, which don't block: a visit on the employee's day off, or no lunch break on a long day (60 min after 6 hours by default).

  • Sending to Frontu. Approved visits become Frontu tasks for the right client, location, task type and employee. If a visit has a task template or evaluation forms set up, those are added too.

The plan is saved in the browser, not on Frontu's server. It's stored per user on that computer, so it won't appear on another computer or for another coordinator. Only tasks that have been sent to Frontu are shared. Visits older than about 16 weeks are removed from the planner, but their Frontu tasks stay.

Keep names and health details out of the plan. It only stores codes, and the notes field tells users not to enter names, health or medication information.

How to use it

  1. Set up (Settings tab, "Nustatymai"). Add:Clients and employees are identified by their system ID code in Frontu, so those codes must already be filled in on the Frontu client and user records. If the planner is empty, you can load a sample week to try it out.

    • Clients, with their contracted hours and any fixed time windows

    • Employees, with weekly hours and working days

    • Visit types (for example morning or evening visit), each linked to a Frontu task type, template or form

    • Pairs of client and employee who must not be scheduled together

  2. Plan the week (Plan tab, "Planas"). You can add visits one by one, copy the previous week, or paste rows from the Excel planning template. The "Pagal klientą" and "Pagal darbuotoją" tabs show the same week as a grid by client or by employee.

  3. Approve. New visits start as Draft. Select them and click Approve, or Cancel a visit that won't happen.

  4. Send to Frontu ("Perkėlimas į Frontu" tab). Click Preview to see what will change (new tasks, changed tasks, cancelled tasks), untick anything you don't want, then click Apply.

    • Moving or reassigning an approved visit updates the existing task instead of creating a duplicate.

    • Tasks that have already started or finished are never changed.

    • Cancelling a visit, or setting it back to Draft, cancels its task as long as work hasn't started.
